1What does a webinar funnel cost, line by line?
The build is paid once. The ads and the team are paid every month, and that is where most of the money goes.
| Cost | What it covers | What to plan for | Paid |
|---|---|---|---|
| The build | Ads, registration page, webinar deck, emails, texts, booking flow, scripts, tracking | Done for you by us: one-time five figures ($10,000 or more). DIY: your time. | Once |
| Ad spend | Meta ads to the registration page | From $150 a day on our installs. A common test is $5,000 to $7,500 per webinar. | Monthly, to Meta from your account |
| Ad creative | New ads to replace the tired ones | At least 10% of your ad spend | Monthly |
| Setters | Calls and texts to every registrant | $25 to $50 per qualified appointment, plus 2% to 5% of upfront cash | Per result |
| Closers | The sales calls | About $800 a sale on a $10,000 offer at 10% commission | Per sale |
| Software | Webinar room, email, CRM, calendar | Your own number. Put it in the calculator. | Monthly |
Setter and closer costs grow only when sales grow, so ad spend and cost per registrant decide most of your cost. If you are not sure a webinar is the right channel at all, find the exact bottleneck in your business first.

2What does each way of building it cost?
Four ways to get it built. Where prices vary, get a written quote.
| Route | Upfront | Every month | Speed and risk |
|---|---|---|---|
| Do it yourself | Your time | Software, plus your ads | Slowest. You learn on your own ad money. |
| Freelancers | Your quote for each piece | Varies by person | You manage five people and join the pieces yourself. |
| Agency retainer | One common agency model: $3,000 to $5,000 setup | $500 to $1,000 a month in that model. One high ticket example: a $15,000 a month retainer next to $25,000 of ad spend. | Ongoing fee. Check who owns the ad account and pages. |
| Done-for-you install (us) | One-time five figures, exact number on the call | Your ads only, from $150 a day | Live in 14 days, or we keep working for free until it is. You own the ad account, pages, list and data. |
The full side by side, with costs, speed, ownership and risk, is in agency vs done-for-you. What our install includes is on the done-for-you webinar funnel page.
3What should a webinar cost per registrant and per booked call?
Other operators' numbers from high ticket webinars on cold traffic, not Cashflow Coaches results.
| Number | Benchmark |
|---|---|
| Cost per registrant | Great $10 to $15. Average $15 to $20. Below average $20 to $30. Above $30 rarely works. |
| Planning number | About $20 per registrant |
| Registration page opt-in rate | 20% to 50%, with a 2% link click rate and a $30 to $80 CPM |
| Registrants who attend live | 30% is great, 20% is average, 10% to 15% means something is broken |
| Viewers still there at the pitch | 80% and up |
| Attendees who book a call | About 30% |
| Show rate on those calls | 70% or better |
| Close rate on calls that show | 35% or better |
| Cost per booked call | $100 to $300; $500 to $1,000 for long sales cycles or very big tickets |
| Return on ad spend | 3x to 5x when it works; about break-even when it does not |
| Return, webinar straight to a booked call | About 3x to expect, 6x at best |
Judge cost per registrant by who signs up, not just the price. In one webinar, $10 registrants were mostly poor fits. Once the ads opened with an income qualifier, registrants cost more, but each qualified one cost less.
What is the most you can pay?
Work backward from the return you need. Pick a target return first. Turn it into a hard cap on cost per lead, and switch off any ad that runs above it. The same math shows why a booked call that looks expensive can still pay.
| Line | The math | Result |
|---|---|---|
| Cost per booked call | One reported agency | $450 |
| Cost per call held | $450 ÷ 60% show | $750 |
| Ad cost per client | $750 ÷ 22% close | about $3,400 |
| Cash per client | Collected | about $14,000 |
| Return | $14,000 ÷ $3,400 | about 4x gross, 3.5x after a 15% sales commission |
So judge cost per booked call against what a client pays you, not against someone else's $100 to $300.

4The webinar funnel cost calculator
Put in one month of numbers. The build number is a placeholder, not our price.
All-in cost is ad spend plus software and team. Under $1.20 back for every $1 of ads loses money.
Step check: where is the money leaking?
The weakest step is the cheapest one to fix.
| Step | Yours | Benchmark | Read |
|---|---|---|---|
| Cost per registrant | $20 | $20 or less | In range |
| Attendance | 20% | 30% | Below |
| Attendees who book | 15% | 30% | Below |
| Show rate | 80% | 70% | In range |
| Close rate | 25% | 35% | Below |
| Cost per booked call | $667 | $100 to $300 | Above |
Weakest step: attendees who book. Lift it to 30% and revenue goes from $22,500 to $45,000.

The lean start is the floor on our installs. The full test is a common budget to learn fast.
| Lean start | Full test | |
|---|---|---|
| Build | Once: five figures done for you, or your time | Same |
| Ad spend a month | $4,500 ($150 a day) | $20,000 to $35,000 (one webinar a week) |
| Ad spend over 90 days | $13,500 | $60,000 to $105,000 |
| New ad creative | 10% or more of spend: $1,350+ | 10% or more: $6,000 to $10,500+ |
| Setters and closers | Paid per result | Paid per result |
| Software | Your number | Your number |
| Time to dial it in | Worst case, 2 to 3 months | |
More budget buys faster learning. It won't fix a weak offer. Some operators say not to start ads until you can fund $6,000 to $10,000 a month. One webinar's cash comes in within about 10 days of the first ad dollar, so you see the return fast.
After each webinar: scale, fix or stop
| What you see | What it means | What to do next |
|---|---|---|
| Two webinars in a row above break-even | It works | Scale. One common plan goes from about $7,500 to about $20,000 on the next webinar. |
| About break-even | Normal for an early test | Check every step against the benchmarks and fix the one that is easiest to double. |
| Cheap registrants, few bookings | The wrong people, or a short pitch | Put an income qualifier in the ads. Stay in the offer and questions longer. |
| One ad with high spend, low attendance and low bookings | That ad brings the wrong people | Turn it off, unless its bookings are your highest budget buyers. |
| Return falls month after month as you add spend | Often the sales team is full, not the traffic | In one reported case, a webinar fell from 9x to 2x and the owner blamed the channel. The question was whether the closers had room: blocked calendars, a top closer sitting idle. Check closer capacity before you cut the ads. |
| Under 1x after four webinars | The pitch or the offer | Stop adding spend. Fix the pitch, then the offer. |
6What makes a webinar funnel cost more or less?
- Promoting too far out. Same-day signups can show at 40% and up. Signups 3 or more days out show at about 10% or less. Each no-show is a registrant you paid for.
- Too few ads. Launch at least 30 ads and expect only 1 or 2 winners. Our installs start with 30 ready-made ads.
- Too many audiences. Meta needs about 50 results per ad set each week to learn. Split the budget thin and every result costs more.
- No replay. About 70% of registrants miss the live webinar. A 5 to 6 day replay sequence doubled revenue in one example.
- No setter cleanup. Calling attendees who did not book, then registrants who did not show, can roughly double the return.
- A weak pitch. If few attendees book, your cost per booked call climbs no matter how cheap the registrants were.
For what one client costs once it all runs, see client acquisition cost and the ROAS calculator.
7Worked example: Nina fixes her pitch
Nina is a made-up consultant with a $7,500 offer. She runs two webinars a month at $5,000 each, plus $2,000 a month in software and team.
| Line | The maths | Result |
|---|---|---|
| Registrants | $10,000 ÷ $20 | 500 |
| Attended live | 500 × 20% | 100 |
| Booked calls | 100 × 15% | 15 ($667 each) |
| Calls that showed | 15 × 80% | 12 |
| New clients | 12 × 25% | 3 |
| Revenue | 3 × $7,500 | $22,500 (2.3x) |
| All-in cost | $10,000 ads + $2,000 | $12,000 |
Her registrants are cheap enough. Her pitch is the problem. Only 15% of attendees book. She moves the offer earlier, pitches the call instead of the program, and shows the booking link on screen while she answers questions. Bookings go to 30%. Nothing else changes.
- 15 booked calls at $667
- 3 clients at $3,333 each
- 2.3x on ad spend
- 30 booked calls at $333
- 6 clients at $1,667 each
- 4.5x on ad spend
Made-up example. Cost per client halved with no cheaper registrants.
8Is a webinar funnel worth the cost?
For an offer that already sells on calls, often yes. A webinar teaches and sells to hundreds of people at once. For Blake Mathews, a brand new offer in a brand new industry went from $0 to $1,230,101 in 60 days on cold traffic webinars. Not typical, and it took a full sales team.
It is not worth it if the offer has never sold, or if nobody is ready to call the leads. Then the money goes to registrants nobody follows up. If buyers already know the problem and want a fast answer, a VSL funnel may cost less per call. We build both, including the done-for-you VSL funnel. If your calls book but don't close, start with how to hire a closer. Want the real build number for your offer? See if you qualify.
9What to do this week
- Write down what you spent on ads last month and how many registrants you got. Divide. That is your cost per registrant.
- Put your numbers in the calculator above. Note the weakest step.
- Pick a start: lean at $150 a day, or a full test at $5,000 to $7,500 per webinar. Fund it for 90 days, not 9.
- Promote each webinar for 3 days or less.
- Set up the replay emails and a setter call list before the first webinar runs.
- Get a written quote for the build. Send the questions below with your request.
1. What is the one-time build price, and what is the monthly fee after it? 2. What exactly is included: ads, registration page, webinar deck, emails, texts, replay, booking flow, sales scripts, tracking? 3. How many ads launch in the first month, and who makes new ones when they tire? 4. What daily ad budget do you need from me, and for how many weeks before we judge it? 5. What cost per registrant and cost per booked call do you plan for in my market? 6. Who calls the leads after each webinar: your team, mine, or nobody? 7. Which numbers will I see after every webinar? 8. Who owns the ad account, pages, list and recordings if we stop working together? 9. What date will it be live, and what happens if you miss it? 10. What happens to the fee if the first four webinars lose money?

Frequently asked questions
How much does a webinar funnel cost?
A webinar funnel has two costs: the build and the ads. A done-for-you build from Cashflow Coaches is a one-time five-figure install, so $10,000 or more, with the exact number on a call. Ads are separate, from $150 a day, paid to Meta from your own account.
How much should I spend on webinar ads?
At least $150 a day on our installs, about $4,500 a month. A common test is $5,000 to $7,500 per webinar, about $20,000 to $35,000 a month on a weekly webinar. More budget means you learn faster.
What is a good cost per registrant for a webinar?
$10 to $15 is great, $15 to $20 is average, $20 to $30 is below average, and above $30 rarely works. About $20 is a safe number to plan with.
What is a good cost per booked call?
A booked call commonly costs $100 to $300, and $500 to $1,000 for long sales cycles or very big tickets. One of our B2B clients booked calls at $66 each on a $15K offer. Not typical.
How long until a webinar funnel pays back?
One webinar's cash usually comes in within about 10 days of the first ad dollar. Getting every step dialed in can take 2 to 3 months in the worst case. The calculator on this page shows how many months your build takes to pay back.
Is a webinar funnel worth the cost?
For an offer that already sells on calls, often yes, because one webinar sells to hundreds of people at once. Expect 3x to 5x on ad spend when it works, and about break-even when it does not. If the offer has never sold, fix that first.
Is an agency or a done-for-you install cheaper?
An agency charges every month. One common agency model is $3,000 to $5,000 setup plus $500 to $1,000 a month. A done-for-you install from us is paid once, in five figures, and you own everything after. Over a year, the install often costs less than a high ticket retainer.
