1How do coaches get clients?
Most coaches use the first two. The ones who grow past $20K a month usually add the fourth.
| Channel | Speed | Cost | Your time | Ceiling |
|---|---|---|---|---|
| Referrals | Slow, you wait | Free | Low | How many happy clients you have |
| Posting content | Slow, months | Free in money, heavy in time | High, every day | What you posted this week |
| Outbound DMs | Fast to start | Setter pay | Medium | Stalls at 3 to 5 setters and $100K to $300K a month |
| Paid ads to a funnel | Calls within weeks | Ad spend plus the build | Low once built | How much you can spend at a profit |
Referrals mean your offer works, but you can't turn them up. Paid ads are the only channel here you can turn up: if the numbers work at $150 a day, you can test $300 a day.
I need more followers before ads will work.
Ads find strangers, and the funnel and follow-up do the selling. Our founder's Skool Games win came with 327 followers and no ad spend.

2What are the six parts of a coach's client acquisition system?
Each part has one job and one number. The full breakdown is in our client acquisition system guide.
| Part | Its job | What it should hit |
|---|---|---|
| 1. Ads | Stop the right person | At least 30 ads at launch; expect 1 or 2 winners |
| 2. Funnel | Teach and sell the call | Webinar: $10 to $20 per sign-up; VSL: 30%+ press play |
| 3. Emails and texts | Reach every lead fast | A text within 2 to 3 minutes, a call within 5 to 7 |
| 4. Booking | Get them on a call | $100 to $300 per booked call |
| 5. Sales team | Close the call | 60%+ show rate; about 25% close rate |
| 6. Tracking | Show every dollar | At least $1.20 cash back for every $1 of ads |
Part 5 is where most coaches leak. Only about 10% of leads book a call on their own. Setters can book 60% to 70% of all calls by phoning every opt-in. A funnel with no setter loses most of its leads. Get the speed to lead and setter script skill to write the first text, the call opener and the follow-up. Our guide on how to hire a high ticket closer covers the people side, and high ticket sales covers the calls.

3Which channel fits your coaching offer?
| Channel | Best when | Benchmark to watch |
|---|---|---|
| Webinar funnel | Buyers need trust and teaching | 3x to 5x return on ad spend when it is going well |
| VSL funnel | Buyers want a fast answer, always on | $100 to $300 per booked call |
| Skool funnel | You want recurring income and a warm list | group funnels taking cost per call from about $250 to about $40 |
In markets where buyers need a lot of teaching, a one hour training can beat a short VSL by about 3x at the same cost per call. Read more in the VSL funnel guide and the Skool community guide.
4How much should a coach spend to get one client?
Expect about $2,000 to win a $10,000 to $15,000 client. While you are still testing ads, $1,500 to $2,500 per client is common. Judge it against what a client is worth.
| Lifetime value to cost | When it is enough |
|---|---|
| 3 to 1 | Only if ads, sales and delivery are all automated |
| 6 to 1 | If one of the three is done by hand, like sales calls |
| 9 to 1 and up | If two or more are done by hand |
Most coaching offers sell on a call, so aim higher than 3 to 1. That gives you two limits.
- The test limit. The most a client can cost while the ads still pay for themselves in the first 30 days. A well run high ticket ads system returns about 2 to 3 times its cost in cash up front.
- The scale limit. Lifetime value divided by the ratio above. Below it, every extra dollar of ads makes you money over the life of the client.
Spend under the test limit and you can keep testing. Spend under both and you can scale. A $500 client worth $5,000 beats a $200 client worth $1,000, so chase the ratio, not the cheapest lead. To count every cost line, use the client acquisition cost calculator or read what client acquisition cost is.
Per booked call = per client × show rate × close rate.
Want your numbers sent to you?
Leave your email and we will send you this breakdown, plus the one part of the system we would fix first.
We only use this to send your numbers and to follow up about your client acquisition. If you add a mobile, we may call or text you about it.5Worked example: Tom fixes his show rate
Tom is a made-up mindset coach, not a client result. He makes $20K a month from referrals and sells a $5,000 program. He starts a webinar funnel at $6,000 a month in ads and books 30 calls.
| Line | Before | After the fix |
|---|---|---|
| Ad spend | $6,000 | $6,000 |
| Booked calls | 30 ($200 each) | 30 ($200 each) |
| Show rate | 40%, so 12 calls | 60%, so 18 calls |
| Close rate | 20%, so 2.4 clients | 20%, so 3.6 clients |
| Cost per client | $2,500 | $1,667 |
| Cash collected | $12,000 (2.0x) | $18,000 (3.0x) |
His calls were booked days out and nobody reminded people. He adds texts within minutes of each booking, reminders before every call and a short video on the confirmation page. The industry average show rate is around 50%, so 40% was a leak. Same ads and spend, 50% more cash. His cost per client fell to $1,667, inside his test limit with room to spare. To scale he still needs a renewal or a second offer that lifts lifetime value. If you want this built for you, see if you qualify.

6What has this done for real coaches and experts?
Each of these clients had a different weak part. Outside coaching, one B2B client booked calls at $66 each on a $15K offer. None is typical.
Brecken Troike's webinar: $8,836 in ads, $326,552 back. Not typical.
“Took my business from 100 grand a month to, 1.2 M a month. ... Best growth partner around.” Brecken Troike, on Trustpilot
A brand new offer in a brand new industry, sold on cold traffic webinars. Not typical.
7What does Cashflow Coaches build for coaches?
A new client acquisition channel for the offer you already sell. We build all six parts ourselves, so nothing gets lost between freelancers.
- Ads. We write, design and launch them. You start with 30 ready-made static ads and never open Ads Manager.
- Funnel and copy. Your webinar, VSL or Skool funnel, with pages, emails and texts written from your stories and your clients' words.
- Booking. A few quick questions, the calendar in the same flow, and reminders until they show up.
- Sales team. Setter and closer scripts, call reviews, and help hiring if you need reps.
- Tracking. Ad spend, calls, show rate, close rate and cash on one screen in CashTracker.io, our own software.
You record three short videos from scripts we write, approve each piece, and look after your clients.
What does it cost?
It is a one-time five-figure install, with the exact number on the call. Ad spend is separate and goes straight to Meta from your own ad account, from $150 a day. There is no retainer to start. You own the ad account, pages, list and data. If the system is not live and taking bookings within 14 days of kickoff, we keep working for free until it is. To compare that with a monthly agency, read agency vs done-for-you. For the ad side in detail, see webinar funnel cost.
Who is it for?
Coaches, consultants and experts with an offer that already sells. Operators commonly call an offer proven once 15 to 30 clients get the promised result in the promised time. If yours is not there yet, we will tell you to fix that first. If you are planning the bigger picture, read how to scale a coaching business.
8What to do this week
- Write down where your last 10 clients came from. If it is all referrals, you can't turn up demand.
- Run the channel chooser above and pick one channel.
- Put your cash per client, lifetime value, show rate, close rate and cost per booked call in the spending limits tool.
- If you are over the test limit, fix the part furthest below its benchmark first. Not sure which one? Find the exact bottleneck in your business.
- List the 10 questions buyers ask most on your calls. Your webinar or VSL should answer them.

Frequently asked questions
How do coaches get clients?
Most coaches start with referrals and content. To grow past that, they add a paid channel: ads that send strangers to a webinar, a short video (VSL) or a free community, then a booked sales call. Referrals stay, but they stop being the only way in.
How do I get coaching clients fast?
Call and message the warm people you already know, ask past clients for introductions, and follow up with every lead within minutes. For new clients every week, run ads to a funnel that books calls. A well built funnel can be live in about two weeks.
What is a client acquisition system for coaches?
It is the set of parts that turns strangers into paying clients: ads, a funnel, emails and texts, a booking flow, a sales team and tracking. Each part has one job and one number to watch, so you can see where people drop off.
How much should a coach spend to get a client?
Operators running high ticket offers commonly report about $2,000 to win a $10,000 to $15,000 client, and $1,500 to $2,500 per client while you are still testing ads. What matters is that each client is worth several times what they cost.
Do Facebook ads work for coaches?
Yes, for coaches with an offer that already sells. Ads work best sending people to a webinar, a VSL or a free community, then to a call. Operators commonly launch with at least 30 different ads, because only one or two of them usually win.
Is organic or paid better for getting coaching clients?
Organic costs time, not ad money, but it is slow and hard to predict. Paid costs money, but you can turn it up and down. Most coaches past $20K a month keep posting and add paid ads, so new clients do not depend on what they posted that week.
How long does it take to build a client acquisition system?
Done for you, Cashflow Coaches builds and launches the full system in 14 days from kickoff. If it is not live and taking bookings by then, we keep working for free until it is, as long as your side of the steps is done on time.
What does a done-for-you client acquisition system cost?
Ours is a one-time five-figure install, with the exact number on the call. Ad spend is separate and is paid straight to Meta from your own ad account, from about $150 a day.
