What Is a Sales Funnel? Stages, Examples and a Free Calculator

A sales funnel is the path a buyer takes from first seeing you to paying you. For a coach or service business it usually runs: ad or content, opt-in, video or webinar, booked call, sale. Each step loses people. Your job is to find the step that loses the most and fix it.

One cold traffic webinar funnel we built took Blake Mathews's new offer from $0 to $1,230,101 in 60 days. Results are not typical.

1What is a sales funnel?

Sales funnel meaning: the steps a stranger goes through to become a paying client. It is drawn as a funnel because fewer people make it through each step. In sales funnel marketing, every ad, page, email and call is one of those steps.

Say 1,000 people click your ad. 250 give you their email. 25 book a call. 15 show up. 3 buy.

The funnel is only as strong as its weakest step.

The numbers below are for coaches, consultants and service firms that sell on a call. A $27 product sold from a checkout page has a different shape. See funnel types.

2What are the 5 sales funnel stages?

2. InterestThey give you a name and emailOpt-in rate20% to 50%

Webinars have their own version of stage 3. About 30% of people still on at the pitch book a call, with 70%+ of those calls showing up. More on the webinar funnel page.

For a coach, the sales pipeline stages start once a call is booked: booked, showed, offer made, then won or lost. The funnel is everything before and around it.

6How do you build a sales funnel, step by step?

Start with an offer that already sells. A funnel moves more people to an offer. It can't fix one nobody wants. Then match the front end to your price: under about $300, a sales page. Up to about $1,000, a video and checkout. Above that, a call.

  1. Opt-in page. Name, email and phone. In one split test with the same ads and spend, the funnel with an opt-in returned 10x on ad spend against 2.7x without, because every lead got a call and emails.
  2. Video page. A headline, the video, then the form and calendar. Build the video from your sales calls: the questions buyers ask most, most common first. Say the price in it to get fewer, better calls.
  3. Form and calendar together. About 3 typed questions, then the calendar on the same page. Split them, and about half of qualified applicants never book. The application funnel page has the questions.
  4. Thank-you page. Tell them to open the invite and press accept. About 85% show when the lead accepts the calendar invite. Add one short video on why to act now. One such video raised show rate by 19%.
  5. Poor-fit page. A free resource or small offer, on a look-alike page. Report the ad conversion only on the good-fit page, so ads find more good fits.
  6. Speed to lead. Text within 2 to 3 minutes and call within 5 to 7. Call half-finished applications first.
  7. Between booking and call. The rep's own text within a few hours of booking, ideally a selfie video, is commonly named the biggest show rate lever. Then reminders 27 hours before, the morning of and 1 hour before. More on the show rate page.
  8. After a no-sale. The closer tags one reason: money, partner, timing, trust, unclear offer or unanswered questions. The top two reasons become your next video and emails.
Rep messages
Selfie video, within a few hours of booking (20 to 30 seconds):
"Hey [name], it's [rep] from [business]. We're on for [day] at [time]. This is my own number, so text me if anything comes up. I saw you said [one form answer]. I've got a short video on exactly that. Want me to send it before we talk?"

27 hours before:
"Hi [name], [rep] here. Still good for [time] tomorrow? Reply YES and I'll keep your spot."

Morning of:
"Morning [name]. Looking forward to [time] today. I had a look at [their business] before our call."

1 hour before:
"See you in an hour. Here's the link: [link]"

7What sales funnel software do you need?

You need a page builder for your sales funnel website, a calendar, a CRM that sends emails and texts, and a way to track cost per booked call. Many coaches use one all-in-one tool for most of it.

To choose one, read ClickFunnels vs GoHighLevel and our GoHighLevel review. The offer, the follow-up and the calls decide the result far more than the tool.

Only 1.5% of his clicks become booked calls. The benchmark is 3%. Nobody calls his leads. They get one email.

He hires a setter who texts every new lead within 3 minutes and calls within 7. His booking rate goes from 6% to 12%. Nothing else changes.

11What to do this week

  1. Download the template. Fill in last month's numbers.
  2. Put the same numbers in the calculator. Write down the weakest step.
  3. Copy the fix plan under the calculator. Do its 3 steps this week, nothing else.
  4. Check the same numbers again in 7 days. Fix one step at a time.

If your weakest step is not in the funnel at all, like the offer or the sales team, find the exact bottleneck in your business. If you would rather we fix it with you, see if you qualify.

Frequently asked questions

What is a sales funnel?

A sales funnel is the path a buyer takes from first seeing you to paying you. For a coach or service business it usually runs: ad or content, opt-in, video or webinar, booked call, sale. Fewer people make it through each step, which is why it is drawn as a funnel.

What are the 5 stages of a sales funnel?

Awareness, interest, decision, action and retention. Someone sees you, gives you their email, watches a video or webinar and books a call, shows up and buys, then stays or buys the next thing. Each stage has one number to watch.

What is a sales funnel vs sales pipeline?

A sales funnel tracks people moving toward a sale and where you lose them, as a conversion rate per step. A sales pipeline tracks the deals your team is working, as deals and dollars per stage. For a coach, the pipeline starts once a call is booked.

What is an example of a sales funnel?

A coach runs Meta ads to a sign-up page for a live webinar. People who fit book a call, get reminders, and a closer takes the call. One funnel like this that we built took a new offer from $0 to $1,230,101 in 60 days. Results are not typical.

What is a good sales funnel conversion rate?

Operators running call funnels commonly report opt-in pages at 20% to 50%, 3% to 5% of ad clicks becoming booked calls, 60% or more of calls showing up, and 20% to 25% of those closing. It depends on the step.

How do you create a sales funnel for free?

You can start with a free form, a free calendar and a recorded video. Post content, send people to the form, and call every lead yourself. What costs money is traffic. The template on this page tracks each step either way.

What is the 3 3 3 rule in sales?

There is no one agreed meaning. Different trainers use it for different rules of three, so check whose version you are reading. For a funnel, a more useful rule is to fix the step furthest below its benchmark first.

What are the 7 stages of sales?

A common list is prospecting, preparing, approaching, presenting, handling objections, closing and following up. That describes the sales process on the call. The sales funnel describes everything that gets a buyer to that call.
