1What is a sales call show rate?
Show rate = calls that showed ÷ calls booked. If 100 people book a call and 62 turn up, your show rate is 62%.
No-show rate is the other side: 100% minus your show rate. A 62% show rate is a 38% no-show rate.
Count a call as "showed" only when the lead joined and the call happened. Count a rescheduled call once, on the date it finally happened or did not. Count calls you cancelled because the lead never confirmed as no-shows.
Track it every week, by funnel and by closer. Webinar calls and cold VSL calls show at very different rates, so one blended number hides the problem.

2What is a good show rate for sales calls?
For a high ticket offer sold on a call, 60% to 70% is good.
| Situation | Show rate | What it means |
|---|---|---|
| Something is broken | Below 30% | A tech problem: bad links, missing invites, wrong time zones. |
| Safe number to plan with | 40% to 50% | What many operators use when testing if a cold funnel can make money. |
| Average | About 50% | The industry average. |
| Cold paid traffic, one-call close | 60%+ | The common target for calls booked straight from cold ads. |
| Best realistic for coaching | 60% to 70% | The realistic best case in high ticket coaching. |
| Calls booked from a webinar | 70%+ | The webinar already did the teaching, so 70% is a floor, not a goal. |
| Two or three confirmations | About 80% | Calendar accepted, a reply to a text, and a confirm link clicked. |
| Calendar invite accepted | About 85% | Leads who accept the invite in their calendar app. |
Small numbers swing a lot. A show rate moving from 60% to 45% in a week with no change in process is often just noise. Judge it over a month or 100 booked calls.
3Why do people no-show sales calls?
There are two kinds of no-show, and each has a different fix.
They forgot or got lost
- No calendar invite, or it went to spam
- Wrong time zone
- Lost the link
- Booked a week out and moved on
Fix it with calendar buttons, text and email reminders, and a personal text from the rep.
They lost belief
- Not sure it works for them
- A new worry came up
- Scared of a hard sell
- Never really wanted the call
Fix it with proof before the call: case studies, short videos and a helpful rep.
Time is the biggest cause. Calls booked four or five days out show worse than same-day or next-day calls. Some only offer same-day and next-day times for that reason, and hire more closers when the calendar fills.
The booking form matters too. Adding qualifying questions raises show rate instead of hurting it. Someone who will not spend a minute on a form will not sit through an hour-long call.
4The reminder system that gets 70%+
Personal touches 24 hours before, the morning of, and 1 hour before work best, on top of the automatic ones. Do not pretend an automatic text is a person.
| When | Channel | What it does | Who |
|---|---|---|---|
| Right after booking | Thank-you page | A short video, 3 minutes or less, that tells them to open the invite and click accept. | Auto |
| Right after booking | Calendar invite with the date, time, time zone and link. | Auto | |
| Within 3 minutes | Text | A text first, so the call that follows is not from an unknown number. | Setter |
| Within 7 minutes | Phone call | Confirm the time, ask one question, be helpful. Not a pitch. | Setter |
| Within a few hours | Selfie video | 20 to 30 seconds, names them, mentions their form answers, restates the time, asks them to reply to confirm. | Setter |
| Same day | One case study that matches their situation. Answers the main worry. | Auto | |
| 27 hours before | Text and email | Confirmation request: "Reply YES to keep your spot." Sent at 27 hours, not 24, so you can cancel unconfirmed calls a full day out. | Auto |
| Day before | Voice note or video | The closer sends a short intro, and shows a bit of prep they did for this lead. | Closer |
| Morning of | Text and email | Today's time, in their time zone, with the link in the email. | Auto plus setter |
| 1 hour before | Text and email | Short reminder. Restate the time. | Auto |
| 15 minutes before | Text and email | "See you in 15." Link in the email and invite. | Auto |
| 3 minutes after start | Call, then text | If they are not on, the closer calls once, then texts the link and offers a new time. | Closer |
Every reminder restates the date and time, because people mix up time zones. This full confirmation process shows at about 75% to 85%.

5What should the page after booking say?
Right after someone books, they read more than at any other time. They just made a choice and want to know it was a good one. If you give them nothing to watch, they search for you on their own, and you have no say in what they find.
- One action at the top. "Open the invite we just emailed and click Accept." About 85% of leads who accept the invite show, and the big calendar apps no longer add events from strangers on their own.
- One main video. Not "thanks for booking, please show up". Nobody watches that. Pick one of the three in the table below.
- Short answer videos under it. One question each, the most asked first. Give the full answer in the first 60 seconds, then go deeper. Start with 3 to 5 questions pulled from your call recordings.
- A wall of real proof. Screenshots of real client messages, lots of them. A few people read each one. Most scroll and see how many there are. Never retype quotes onto a design with a stock photo.
- What happens next. The number your team texts from, when reminders arrive, how long the call is, what to bring, and that anyone who decides with them should join.
| Main video | Use it when | What it says |
|---|---|---|
| Answers to the top questions | The offer has moving parts, and leads come in warm | The 3 to 5 questions your closers hear on every call. A 15 second answer to each, then the detail. Under 5 minutes, with chapters. |
| Why now | Cold traffic | A real outside reason to act now that they can check, like a market or rule change. Never fake spots or countdown timers. |
| Check us out with me | $5K+ offers and wary buyers | Search your own name with them. Show your refund record. Walk through what they will find online. |
Film the main video before anything else on the page. One strong main video beats a pile of small ones. In one case a single "why now" video lifted show rate 19%. Test one version for at least two weeks before you swap it.
6Show rate diagnostic: where are your no-shows coming from?
Pick the answer that is true today, not the one you plan to do.
Work the list top down, one fix a week, so you can see which change moved the number.
7What else raises show rate besides reminders?
Reminders fix people who forget. These fix people who stop believing.
| Lever | What to do | Result |
|---|---|---|
| Proof page | Send every booked lead one page of real results with numbers. | One case on cold paid traffic: 75%+ show rate and 40%+ close rate. |
| Speed | Have the assigned rep reach out within the first few hours, helpful, not qualifying. | The single biggest lever on show rate. |
| Sell 7 days | Take calls on weekends too. | About 29% more selling days, and fewer Monday no-shows. |
| Best time slots | Check which slots show best and push calls there. | Operators use a show rate heat map by time slot. |
| Reward it | Shout out the rep with the best weekly show rate. | Some add a small weekly bonus, about $500 flat. |
Emails between booking and the call should carry answers, not reminders. Each one does one job: a story from a client like them, one worry named and answered, or what happens on the call. Most people never click a link, so put the answer in the email itself.
If your show rate suddenly swings, look at follow-up first. A drop from 70% to 50% gets fixed with manual texts, calls and voicemails, setters calling to confirm, and stricter screening that cancels weak calls. If your show rate is healthy and sales still stall, the leak is somewhere else: find the exact bottleneck in your business.
8How much is a higher show rate worth?
A 20% gain in show rate is worth the same as a 20% gain in close rate, and show rate is usually the easier one to move. At 100 booked calls, a 20% close rate and $8,000 a sale:
| Show rate | Calls held | Sales | Cash a month |
|---|---|---|---|
| 50% | 50 | 10 | $80,000 |
| 60% | 60 | 12 | $96,000 |
| 70% | 70 | 14 | $112,000 |
| 85% | 85 | 17 | $136,000 |
With the same ads and the same closer, going from 50% to 70% adds $32,000 a month. Run your own numbers in the show rate calculator. If you want the whole booking and reminder system built and run for you, see if you qualify.
9Worked example: Marcus goes from 48% to 72%
Marcus is a business coach. He sells a $6,000 program and closes 25% of the calls that show. He books 120 calls a month from cold ads, and 58 show. That is 48%. Made-up example.
| Week | What Marcus changes |
|---|---|
| Week 1 | Closes the calendar to today and tomorrow only. Adds three multiple choice questions to the form. |
| Week 2 | Records a 2-minute thank-you video that asks people to accept the invite. Sets the 27-hour confirmation text. |
| Week 3 | His setter texts every new booking within 3 minutes, calls within 7, and sends a selfie video. |
| Week 4 | Marcus sends a voice note the day before every call. He cancels and rebooks anyone who does not confirm. |
He spent nothing more on ads. The extra 29 calls a month came from people who had already booked.

Frequently asked questions
What is a good show rate for sales calls?
For a high ticket offer, 60% to 70% is good. Operators running high ticket funnels commonly report about 50% as average, 70% or more for calls booked from a webinar, and about 85% for leads who accept the calendar invite. Below 30% usually means something technical is broken.
How do you calculate show rate?
Divide the calls that showed by the calls that were booked, then multiply by 100. If 100 calls were booked and 62 happened, your show rate is 62%. Count a rescheduled call once, and count calls you cancelled for not confirming as no-shows.
What is a no-show rate?
It is the share of booked calls where the lead did not turn up. No-show rate is 100% minus your show rate, so a 62% show rate is a 38% no-show rate.
How do you reduce no-shows on sales calls?
Book calls today or tomorrow, ask qualifying questions on the form, and get the calendar invite accepted. Then have a real person text within 3 minutes and call within 7, send a confirmation request 27 hours before, and send reminders the morning of, 1 hour before and 15 minutes before.
How far out should you book sales calls?
As close as you can. Calls booked four or five days out show worse than same-day or next-day calls. Many only offer today and tomorrow, and hire more closers when the calendar fills.
Do more questions on the booking form lower show rate?
Usually not. Adding qualifying questions raises show rate, because someone who will not spend a minute on a form will not sit through an hour-long call. Keep them multiple choice, with one open box.
Should you text the call link?
Put the link in the email and the calendar invite, and use texts for reminders. For webinars, texting the link pushes people to join on their phones, which hurts results. For a one-to-one call, texting it again after a no-show is fine.
Is show rate or close rate more important?
Both move cash the same way. Operators commonly report that a 20% gain in show rate is worth the same as a 20% gain in close rate, and that show rate is usually easier to raise because the fixes are about process, not sales skill.
