1How do you calculate show rate and no-show cost?
Show rate = calls that showed ÷ calls booked × 100.
No-show rate = 100% − show rate.
Revenue lost to no-shows = (calls booked − calls that showed) × close rate × cash per sale.
Cost per call held = cost per booked call ÷ show rate.
Treat lost revenue as a ceiling, since some no-shows would not have bought. The gap to target is the cash you can really win back.

Want your numbers sent to you?
Leave your email and we will send you this breakdown, plus the one fix we would make first.
We only use this to send your numbers and to follow up about your calls. If you add a mobile, we may call or text you about it.3The reminder schedule that gets calls past 70%
There are two kinds of no-show. Some people forget: no invite in the calendar, a lost link, a time zone mix-up. Others lose belief between booking and the call. Timing and reminders fix the first kind. Proof fixes the second.
| When | Step | Why |
|---|---|---|
| Booking page | Offer today and tomorrow first | Same-day and next-day calls show better. Every extra day gives doubt time to grow. |
| Booking form | 3 qualifying questions | More form questions raise show rate, because people who skip a one-minute form skip the call too. |
| Thank-you page | Accept the calendar invite | Leads who accept the invite commonly show at about 85%. Many calendars no longer add it on their own. |
| Within 5 minutes | Text from a real person | Text within 2 to 3 minutes and call within 5 to 7. |
| 27 hours before | Ask for a YES, cancel silent calls | Send it at 27 hours, not 24, so a silent lead gets a full day before you cancel. |
| Day before | Voice note from the closer | The lead then feels accountable to two people, not one. Show the prep you did for them. |
| Morning, 1 hour, 15 minutes | Reminders with the link | These three touches are the best timing. Restate the time zone every time. |
| Before the call | One client story | One operator reported a 19% show rate lift from a single video at the top of the confirmation page. |
| 5 minutes after a no-show | Call, then text a rebook link | Most no-shows got busy. A fast, friendly rebook saves the ad money you already spent. |
About 80% show when a lead confirms in two or three separate ways: the calendar accept, a YES reply and a confirm link. To have Claude write the full sequence in your voice, emails and texts included, get the show rate and pre-call sequence skill. If you would rather our team build and run it, see if you qualify.
4What is each 5 points of show rate worth?
Each 5 points means 5 more calls held for every 100 booked. Multiply by your close rate and price and you have its value. For Priya that is 5 calls × 20% × $8,000 = $8,000 a month, or $96,000 a year.
A 20% gain in show rate is worth the same as a 20% gain in close rate, and show rate is usually easier to move. Close rate needs sales skill. Show rate mostly needs process: booking calls close in, getting the invite accepted, and a real person reaching out fast.
5What if your show rate was 40%, 60% or 90%?
| Show rate | Calls held | Sales | Cash a month | vs now | Cost per call held |
|---|---|---|---|---|---|
| 40% | 40 | 8 | $64,000 | -$16,000 | $375 |
| 50% | 50 | 10 | $80,000 | $0 | $300 |
| 60% | 60 | 12 | $96,000 | +$16,000 | $250 |
| 70% | 70 | 14 | $112,000 | +$32,000 | $214 |
| 80% | 80 | 16 | $128,000 | +$48,000 | $188 |
| 90% | 90 | 18 | $144,000 | +$64,000 | $167 |
Cost per booked call stays the same, so each call held gets cheaper as show rate climbs. A higher show rate makes the same ads worth more.
6How many calls do you need booked to hit your goal?
Work out headcount the same way: goal ÷ cash per sale gives sales, ÷ close rate gives calls held, ÷ show rate gives calls booked. Then divide by about 8 calls a closer a day to see how many closers you need. More on that in how to hire a high ticket closer.
7What is a good show rate?
| Situation | Show rate |
|---|---|
| Something is broken: check the tech | Below 30% |
| Average | About 50% |
| Realistic best case in high ticket coaching | 60% to 70% |
| Calls booked from a webinar | 70%+ |
| Leads who accept the calendar invite | About 85% |

8How much ad money do no-shows burn?
Every no-show is a booked call you paid for. At $150 a booked call and 50 no-shows, Priya spends $7,500 a month on calls that never happen. What a call is worth to you starts with your customer lifetime value. $100 to $300 is a safe cost per booked call to plan with, set by how much cash you collect per sale.
Judge calls by show and close, not by price alone: a $300 call that shows 80% and closes 20% beats a $100 call that closes 1 in 10 with lots of no-shows. The cheapest booked call is not the cheapest client.
One of our clients, Blake Mathews, with a B2B offer at $15,000, booked calls at $66 a call. Not typical. At that price a no-show costs little in ads, but it still costs a lot in lost sales. To see your full cost per client, use the client acquisition cost calculator.
9Worked example: Priya's no-show bill
Made-up example. Priya books 100 calls a month at $150 each, sells an $8,000 program and closes 20% of calls held. Half her calls no-show, so she makes $80,000 a month and spends $7,500 on calls that never happen.
Her schedule says: move to today and tomorrow, get the invite accepted, text within 5 minutes, ask for a YES at 27 hours. If that takes her to 70%, the same 100 calls make $112,000 a month, and each call held costs $214 instead of $300. She still needs a setter to send the personal texts. - Pull last month's booked calls, calls held and sales. Put them in the calculator.
- Write down your gap to target in dollars. That is what fixing show rate is worth each month.
- Split show rate by funnel and by closer. Find the one leaking most.

Frequently asked questions
How do you calculate show rate?
Divide the calls that showed by the calls that were booked, then multiply by 100. If 100 calls were booked and 50 happened, your show rate is 50%. Count a rescheduled call once, on the day it finally happened or did not.
How do you calculate no-show rate?
No-show rate is 100% minus your show rate. It is also no-shows divided by calls booked, times 100. With 100 booked calls and 50 no-shows, the no-show rate is 50%.
How much revenue am I losing to no-shows?
Multiply your no-shows by your close rate and your cash per sale. With 50 no-shows, a 20% close rate and $8,000 a sale, that is $80,000 a month. Treat it as a ceiling, since some no-shows would not have bought. The gap to a 70% show rate is the part you can win back.
What is each 5 points of show rate worth?
Booked calls times 5%, times close rate, times cash per sale. At 100 booked calls, a 20% close rate and $8,000 a sale, each 5 points is worth $8,000 a month, or $96,000 a year.
What is a good show rate for sales calls?
Operators running high ticket funnels commonly report about 50% as average and 60% to 70% as a realistic best case for coaching. Calls booked from a webinar should show at 70% or more, and leads who accept the calendar invite show at about 85%.
Is it better to raise show rate or close rate?
They move cash the same way: a 20% gain in either gives 20% more sales. Operators commonly report that show rate is usually easier to move, because the fixes are process, not sales skill.
What reminders should I send before a sales call?
Get the calendar invite accepted on the thank-you page, have a real person text within 5 minutes, ask for a YES reply 27 hours before, send a voice note from the closer the day before, then remind them the morning of, 1 hour before and 15 minutes before with the link. Every message restates the day, time and time zone.
How do I lower my no-show rate?
Book calls today or tomorrow, ask qualifying questions on the form, and get the calendar invite accepted. Then have a real person text within 3 minutes and call within 7, ask for a YES 27 hours before, and remind them the morning of, 1 hour before and 15 minutes before.

Priya is a made-up example. Her numbers show how the maths works and are not a client result. The lost revenue figure assumes no-shows would close at the same rate as calls that showed, so it is a ceiling, not a promise. Benchmarks on this page are numbers that operators report from their own businesses, not guarantees. Every real result on this page is a past result from a specific client. None of them is typical or a promise of what you will make.
