1What is a coaching funnel?
Each step of a coaching funnel has one job and one number to watch.
| Step | Its job | Number to watch |
|---|---|---|
| Ad or content | Stop the right coach client with one promise | Cost per click |
| Opt-in | Get a name, email and phone | Opt-in rate |
| Video or webinar | Teach, prove and pitch the call | Watch or attend rate |
| Application | Sort buyers from browsers | Completion |
| Booked call | Calendar, reminders, show up | Show rate |
| Sales call | You or a closer makes the sale | Close rate |
The basics for any service business are in the sales funnel guide.

2Which coaching funnel fits which coach?
Four funnels do most of the work. Benchmarks are what operators commonly report, not our results.
| Funnel | Best price | You need | Benchmark |
|---|---|---|---|
| VSL call funnel | $2,000 and up | Ad budget, someone to take calls | $100 to $300 per booked call |
| Webinar funnel | $2,000 and up, buyers who need teaching | A bigger test budget, a presenter | 30% of attendees book; calls show 70%+ and close 35%+ |
| Free community funnel | Paid tier plus high ticket | Time to run a group | About 10% of joiners buy the next offer |
| Low-ticket ascension | $7 to $300 first, then high ticket | Lots of traffic or a big audience | Buyers can take 6 to 9 months to move up |
Match funnel to price: under about $300, a sales page; up to about $1,000, a video and a checkout; above that, a sales call. A challenge funnel, such as a 5 day challenge, is a webinar spread over several days, so it sits in the webinar row. Every funnel type, with pros and cons, is on funnel types.
3Which funnel should you run first?
If you already have closers, let them break a tie. Pick the front end the sales team already closes best. A team that wins on warm, referral-style leads does well with a webinar, because webinar leads arrive taught and warmed up the same way. A team that closes cold call-funnel leads should push the VSL hard first and add lead magnets later.
4Is the coaching funnel dead?
The one-click straight line is fading. Buyers now see you in a post, a video, a group or an email before they book. A funnel that needs one click to a sale breaks easily. One that follows up with everyone who leaves keeps working.
Retarget the people who don't buy with a different funnel every few weeks, plus steady teaching content. It still ends in a booked call.
5How do you build the offer ladder behind a coaching funnel?
A funnel sells one offer. A ladder makes each client worth more over time. We build three rungs. Each one gives a bigger result, faster. Not just more calls or more content.
| Rung | How they get the result | Starting price for a $20K+ a month coach | The promise |
|---|---|---|---|
| 1. On your own | A course or short program with a fixed end date, such as 6 weeks | $1,000 to $3,000 | Learn the method and get a first win |
| 2. Done with you | Coaching: group calls, some 1 to 1 time, accountability | $5,000 to $15,000 | Hit the bigger number with us in your corner |
| 3. Done for you | Your team builds or runs it for them | $15,000 and up | The biggest result in the shortest time |
- Give each rung its own promise. If rung 1 promises the full result, nobody needs rung 2. Test it: if a rung 1 buyer got everything you promised, would they still want rung 2? If not, shrink the rung 1 promise.
- Pitch the next rung after the win, not before. Give rung 1 a fixed end date. In the first weeks, say the next rung exists, with no ask. Once they finish and get the result, make the offer.
- Ask with a yes or no email. "Want help with [the next step]? Yes / Not now." Every "yes" goes to a setter the same day.
One fitness coaching business ran a $9,000 main program, a $6,000 six month downsell and a $30,000 a year executive tier. About half of buyers paid in full and half financed. To map your own rungs, prices and promises, get the high ticket offer builder skill.
6What numbers should a coaching funnel hit?
Most coaching funnels leak at the call, so fix show rate before you buy more traffic.
| Number | Benchmark |
|---|---|
| CPM (cost per 1,000 ad views) | About $30 to $80 |
| Opt-in rate | 20% to 50% |
| Webinar cost per sign-up, cold | $15 to $20 average; over $30 rarely works |
| Live webinar attendance, cold | About 20% average; 30% is great |
| Cost per booked call | $100 to $300 |
| Show rate, one-call close | 60%+ target; plan on 40% to 50% while testing |
| Close rate, one-call close | 20% to 25% usual; 30%+ is above average |
| Free group joiners who buy | About 10% |
| Cash back per $1 of ads | At least $1.20 |
Real client results. Not typical. Check your call numbers with the show rate calculator.
From CPM to cost per booked call
The top of the table sets the rest. One chain, with made-up but in-range numbers:
| Step | The math | Result |
|---|---|---|
| 1,000 ad views | $50 CPM | $50 |
| Link clicks | 1% of 1,000 | 10 clicks, $5 each |
| Booked calls | 3% to 5% of clicks | 0.3 to 0.5 |
| Cost per booked call | $5 ÷ 3% to 5% | $100 to $167 |
If your cost per call is far above $300, find the step that misses. A high CPM is an audience or creative problem. A low click rate is a hook problem. Few calls per click is a page or offer problem.

8How do you build a coaching funnel in 14 days?
- Days 1 to 2: pick one offer and one buyer. Pull 10 recorded sales calls. List the questions buyers ask most.
- Days 3 to 5: write the video and the ads. Pitch the call, and keep the price for the call itself. Launch about 30 ads and expect 1 or 2 winners.
- Days 6 to 8: build the pages. Opt-in, video page, then the application and calendar in one flow.
- Days 9 to 11: write the follow-up. Emails and texts to every opt-in, plus reminders before each call.
- Day 12: fund the ads and test every link. Book a test call yourself, start to finish.
- Days 13 to 14: go live. Text new leads within 2 to 3 minutes and call within 5 to 7.

Online business coach
Buyers are owners who want a fast answer. A VSL call funnel fits. For business owners, keep the video to 2 to 15 minutes.
Health and fitness coach
Buyers need more trust and teaching. A webinar or free group fits. Group funnels can cut cost per booked call from about $250 to about $40. The ceiling is high. Some health and functional medicine coaches do $4M to $10M a month on plain call funnels, with ads aimed at what high earners feel: success at work, a body that does not match it. Most health coaches never sell that way, which is why few reach that size.
Life coach
The outcome is harder to show, so proof carries more weight. Start with an application and calls from your audience, then add ads once 15 to 30 clients have got the result, the bar for a proven offer.
10What should the application ask?
Keep it to a few pick-from-a-list questions, with the calendar in the same flow. Our own booking page asks these six.
| Question | Why it's there |
|---|---|
| What do you do? | Is this our buyer at all |
| How much does your business make a month? | Can the offer help them now |
| What's your biggest bottleneck? | What the call should be about |
| How much are you willing to invest? | Can they pay |
| Are you the sole decision maker? | Who else must be on the call |
| How soon do you want to start? | Urgency |
Split the form and the calendar onto two pages, and about half of qualified applicants never book. A second business at about $1.4M a month saw the same 50% drop between the form and the calendar. Use a booking tool that puts the calendar inside the form. Thresholds and a question builder are on the application funnel page.
11What should a coach send between the booking and the call?
The days between booking and call decide most of your show rate and close rate. Fill them with the answers your closer would otherwise give live. Pull 10 recorded sales calls and list four things:
- The top questions buyers ask. One short video or email each.
- The top reasons people say no. One answer each, ideally from a client who had the same doubt.
- What it takes to succeed. Hours a week, money, what they must do. Said before the call, the closer confirms it instead of teaching it.
- The second questions. What buyers ask once the first questions are answered.
Send them from the confirmation page, the reminder texts and email. One business sends every booked lead a page listing every past deal with real numbers, and reports 75%+ show and 40%+ close. When a call does not close, the closer logs why. Each new reason becomes the next video. In our view, "I need a few weeks to think" usually means questions went unanswered before the call, not that the price needs two calls. The full reminder schedule is on sales call show rate.
12Worked example: Tom fixes his show rate
Tom is a made-up business coach, not a client. He sells a $6,000 program, has 3,000 followers, spends $8,000 a month on ads and takes his own calls. A VSL call funnel fits.
| Line | The maths | Result |
|---|---|---|
| Booked calls | $8,000 ÷ $200 | 40 |
| Calls that showed | 40 × 50% | 20 |
| New clients | 20 × 25% | 5 |
| Revenue | 5 × $6,000 | $30,000 (3.8x) |
Half his calls no-show. He keeps bookings inside 72 hours, adds text reminders and a short video on the confirmation page. One confirmation page video can lift show rate by 19%. His show rate goes to 70%.
- 20 of 40 calls showed
- 5 clients
- 3.8x on ad spend
- 28 of 40 calls showed
- 7 clients
- 5.3x on ad spend
Made-up example. Same ads, same $8,000. The fix was after the booking.
13What mistakes do coaches make with funnels?
- Scaling an offer that isn't proven. Scaling before 15 to 30 happy clients only scales refunds.
- A PDF on cold ads. Send cold traffic to an application or video. Keep free PDFs for warm audiences.
- Too few ads. Testing 5 ads and giving up.
- Calls booked a week out. Keep the booking window under about 72 hours.
- Waiting for people to book themselves. Only about 10% of leads book on their own.
- Killing low ticket too early. In one funnel, 0.4x at launch became about 8x a year later as buyers moved up.
14What does a coaching funnel cost?
There are two costs, the build and the ads. Start Meta ads only once you can fund $6,000 to $10,000 a month. Our done-for-you funnel is a one-time five-figure install, exact number on the call. Ad spend is separate, paid to Meta from your own account, from $150 a day. For high ticket call math, see the high ticket funnel page.
15What to do this week: write your funnel copy
Fill in six lines about your offer. Edit the draft into your own voice, then build.
Then put last month's numbers in the calculator, run the chooser, and set a text within 3 minutes and a call within 7 for every new lead. If the numbers say the problem is not the copy, find the exact bottleneck in your business first. When you want the whole funnel built and run for you, see if you qualify.

Frequently asked questions
What is a coaching funnel?
A coaching funnel is the path that takes a stranger to a paying client. For coaches selling $2,000 and up it usually runs: ad or content, opt-in, a short video or webinar, an application, a booked call and the sale.
What is the best sales funnel for coaches?
It depends on price and audience. Above about $1,000, sell on a call. With an ad budget and a small audience, start with a VSL call funnel. With a big test budget and buyers who need teaching, use a webinar. With little budget, a free community funnel.
Is the coaching funnel dead?
The one-click straight line is fading, because buyers see you in many places first. A funnel that follows up with everyone, by text, call, email and retargeting, still works and still ends in a booked call.
How much does a coaching funnel cost?
Two costs: the build and the ads. Operators commonly say to start Meta ads at $6,000 to $10,000 a month. A done-for-you build from Cashflow Coaches is a one-time five-figure install, with ad spend paid to Meta from your own account.
What is a good show rate for coaching calls?
Aim for 60% and up for a one-call close from cold ads, and plan on 40% to 50% while testing. Calls booked after a webinar commonly show at 70% or more.
What is a good close rate for coaching sales calls?
20% to 25% is usual on a one-call close, and 30% or more is above average. Calls booked after a webinar commonly close at 35% or more.
How many questions should a coaching application have?
Keep it short. Operators commonly find about three typed questions is the sweet spot. Pick-from-a-list questions, like revenue, budget, decision maker and timeline, add less friction.
Do I need a sales team for a coaching funnel?
Not at first. Many coaches take their own calls. Only about 10% of leads book on their own, so someone calling every lead soon matters more than the closer.
