Client Acquisition: What It Is, the 5-Step Process and What It Costs

Client acquisition is the process a business uses to find, attract and sign new paying clients. It runs in five steps: pick who you serve, get their attention, capture the lead, book a call, and close. Give each step a number and you know your cost per client before you spend.

One B2B client, Blake Mathews, booked sales calls for $66 each on a $15,000 offer. See the case. Results are not typical.

1What is client acquisition? Meaning and definition

The client acquisition definition used by service businesses is getting new paying clients. "Client" is the word coaches, consultants, agencies and advisors use, because they sell something big, often on a call. The customer acquisition meaning is the same, for products bought from a page.

2What is the client acquisition process?

New client acquisition works like a customer acquisition funnel. Each step loses people, and each has a number to track.

Five steps, one number each
Step 1Pick whoOne buyer, one result
Step 2Get attentionCost per click or reply
Step 3CaptureCost per lead
Step 4Book a callCost per booked call, show rate
Step 5CloseClose rate, cost per client
  1. Pick who you serve. One kind of buyer with one painful problem. Check five things: daily pain, money to pay, buyers already paying for help, easy to reach, and a result you can deliver.
  2. Get their attention. Use one or two channels: referrals, outreach, content or ads. Say the result in the first line.
  3. Capture the lead. Get a name, email and phone number with a free resource, a sign-up or a short form.
  4. Book a call. Put a few questions and the calendar on one page. Text new leads within 2 to 3 minutes and call within 5 to 7. Send reminders before every call. Get the application funnel builder skill to write the questions and the page.
  5. Close. Run a clear sales call, follow up with everyone who did not buy, and track cost per client against your price.

3Which client acquisition strategies work in 2026?

Ranked by cash cost per client, cheapest first. The cheap ones cost your time instead.

Paid ads into a webinarAbout $3,000 for B2B, give or take $1,5002 to 4 weeksYes3x to 5x return when it works

Webinars rank last on cost per client but carry the biggest tickets and scale furthest. Brecken Troike's webinar returned 36.96x ($326,552 on $8,836 of ads), and one new offer went from $0 to $1,230,101 in 60 days on cold traffic. Not typical.

Most businesses need one free strategy and one paid one. Start with outreach because content is slow, then add ads once the offer is proven. For coaches, see client acquisition for coaches. For consultants, see how to get consulting clients.

4What does client acquisition cost?

Cost per client = everything you spent to get clients ÷ new clients

In the client acquisition cost formula, count ads, tools, outreach and your sales team's pay.

How much ad budget do you need for more clients?

Work backwards from the clients you want.

  1. Clients you want ÷ close rate = calls that must show. 6 clients at a 25% close rate is 24 calls.
  2. Calls that must show ÷ show rate = calls to book. 24 at a 60% show rate is 40.
  3. Calls to book × cost per booked call = ad budget. 40 calls at $200 is $8,000 a month.
  4. Calls to book ÷ 22 working days = calls a day. 40 is about 2 a day, so one closer can take them.

At scale the math is the same: $1M a month at a $5,000 sale needs 200 closes, 1,000 shown calls and about 1,667 booked calls. Judge cost per call against your own cash per sale. A $1,000 call still returns 5 to 1 when each sale collects $25,000.

CAC vs CPA

CAC is the cost to win one paying client. CPA is the cost of any action you pick, like a lead or a booked call. A $40 CPA on leads can still mean a $1,333 CAC.

Ways to lower it are in client acquisition cost. To run every cost line, use the client acquisition cost calculator.

6Customer acquisition cost example: what $66 calls mean per client

A B2B offer sold at $15,000 on a sales call. We built Meta ads, a webinar and a booking flow to a team of diallers and closers. Booked calls cost $66 each, before any retargeting ads were running. Read the case. Not typical.

Dana is a made-up consultant. The $66 is real. Her show and close rates are made up.

A B2B client from ads costs about $3,000. At $66 calls, Dana could fall to a 4% close rate and still match that.

8What to do this week

  1. Write down who you serve and the one result you sell, in one line.
  2. Divide everything you spent last month to get clients by the new clients it brought. That is your cost per client.
  3. Put your client goal in the budget tool at the top and your real numbers in the table. Fix the one furthest off before you raise the budget.
  4. Choose one free strategy and one paid one from the table. Drop the rest for 90 days.

Frequently asked questions

What is client acquisition?

Client acquisition is the process a business uses to find, attract and sign new paying clients. It runs in five steps: pick who you serve, get their attention, capture the lead, book a call, and close. Each step has a number you can track.

What is the meaning of customer acquisition?

Customer acquisition means getting new paying customers. It is the same idea as client acquisition. People say "customer" for products bought on a page, and "client" for services sold on a call, like coaching, consulting and agency work.

What is a good customer acquisition cost?

It depends on the price and how you sell. For high ticket offers sold on a call, operators commonly report about $2,000 per client on a $10,000 to $15,000 offer, and about $3,000 per B2B client from paid ads, give or take $1,500.

How to get client acquisition going?

Pick one buyer and one result. Choose one free strategy, like referrals or outreach, and one paid one, like ads into a webinar. Capture every lead, book them onto calls fast, send reminders, and track cost per client every week.

What is a client acquisition strategy?

A client acquisition strategy is your plan for which channels you use to reach buyers and how you turn them into clients. A good one names the buyer, the one or two channels, the free resource, the booking step and the cost per client you can afford.

What is the difference between CAC and CPA?

CAC, client or customer acquisition cost, is what it costs to win one paying client. CPA, cost per action, is the cost of any action you choose, like a lead or a booked call. You can have a cheap CPA and still a high CAC.

What is a good LTV to CAC ratio?

Many people quote 3 to 1: a client is worth three times what it cost to win them. Some operators say 3 to 1 only works when leads, sales and delivery all run without you, and you need more when any part is manual.

What does a client acquisition specialist do?

A client acquisition specialist brings in new clients for a business. The job can mean running ads, doing outreach, setting appointments or closing sales calls. Ask which step of the process they own and which number they are paid on.
