Appointment Setter Scripts for Webinar, VSL, Skool and DM Leads

On the first call, a setter should say who they are and why they're calling, tied to what the lead just did: watched the webinar, opted in, joined the group. Then ask where they want to be, what's in the way, what they've tried and why now. Check fit, then book the call before hanging up.

One client's booking flow booked 664 sales calls in three months. Results are not typical.

By Anshjeet Singh, founder of Cashflow Coaches. Updated 22 October 2026.

1What should an appointment setter say on the first call?

Use six steps: the goal, the obstacle and what they tried, why now, ability to invest, the path, then book. Only the opener changes with the lead source.

StepWhat to find outLine to say
0. OpenWhy you're calling"Hey [first name], it's [your name] from [coach]'s team. You just [what they did]. Got two minutes?"
1. GoalWhere they want to be"What made you [watch / sign up / join]? Where do you want to be in 6 months?"
2. ObstacleWhat's in the way, and what they tried"What's stopped you so far? What have you tried?"
3. Why nowUrgency"Why is this something you want to fix now, and not next year?"
4. InvestCan they act if it fits"If this is a fit, are you in a spot to invest in getting it fixed?"
5. PathShow there's a way"That's exactly what [coach] helps people with. The next step is a [call length] minute call."
6. BookA time, on this call"I have [day] at [time] or [time]. Which works better?"

Book while you're still talking. "I'll send you a link" loses people. Send the invite while they're on the line.

Adjust for how warm the lead is. Someone from an ad met you minutes ago, so spend longer on the goal and the obstacle. Someone who has followed you for a year often needs only the path and the book. Push a warm follower through ten questions and they feel processed.

Webinar lead scripts

Call: attended, didn't bookCall within a day
Hey [first name], it's [your name] from [coach]'s team. You were on the training yesterday, right?
What made you jump on?
What was the biggest thing you took from it?
Where are you at right now with that, and where do you want to be in 6 months?
What's stopped you from getting there so far?
Why now? What happens if nothing changes this year?
Sounds like a fit for a call with [closer]. It's [call length] minutes and they'll map out your plan. If you're not a fit, they'll tell you.
I have [day] at [time] or [time]. Which works better?
Text: attended, didn't bookIf no answer
Hey [first name], [your name] here from [coach]'s team. Saw you made it to the training. What did you think? Any part you want to talk through?
Call: registered, didn't attendCall within a day
Hey [first name], it's [your name] from [coach]'s team. You signed up for the training but couldn't make it. Totally fine, it happens.
Quick question: what made you sign up in the first place?
Where are you at with that right now?
I can send you the replay. Or, if it's easier, I can get you on a [call length] minute call with [closer] who can go through it with you one to one. Which would help more?
Text: registered, didn't attendSame day
Hey [first name], it's [your name] from [coach]'s team. Missed you on the training. Want the replay, or would a quick call be easier?

After a webinar, call everyone who attended but didn't book first, then everyone who signed up and never showed. Some report this cleanup alone can double the return on a webinar.

VSL and application lead scripts

Text: VSL opt-inWithin 3 minutes
Hey [first name], it's [your name] from [coach]'s team. Saw you just grabbed the video. I'm going to give you a quick call in a few minutes so you know it's me.
Call: VSL opt-in, didn't bookWithin 7 minutes
Hey [first name], it's [your name] from [coach]'s team. You just opted in to watch the video. Did you get a chance to see it yet?
What made you click on it?
So you want to [result]. Where are you at with that right now?
What have you tried so far? What happened?
Why is now the time to fix it?
If it's a fit, are you in a spot to invest in getting help?
Got it. The next step is a [call length] minute call with [closer]. They'll look at where you are and tell you straight if we can help.
I have [day] at [time] or [time]. Which is better?
Call: started the applicationWithin minutes
Hey [first name], it's [your name] from [coach]'s team. Looks like you started the application but the calendar didn't come up. Sometimes the page glitches. I can book you in right now.
Before I do, what made you apply?
Where are you at now, and where do you want to be?
Perfect. I have [day] at [time] or [time] with [closer]. Which works?
Text: started the applicationIf no answer
Hey [first name], [your name] from [coach]'s team. Looks like your application didn't finish. Want me to book you in by text? Just reply with a day that works.

Treat a half-finished application as a top lead and flag it to setters within a few minutes.

Skool community scripts

DM: new free memberWithin a day
Hey [first name], welcome in! I'm [your name], I help [coach] run the group.
Quick one so I can point you to the right posts: what made you join, and what's the one thing you want to fix first?
DM: after they replySame day
Love that. Most people here want to [result] too.
Start with [the post or video that helps most]. It's the fastest win in the group.
Out of curiosity, where are you at with it right now? And what have you tried so far?
DM: invite to a callOnce they've shared the goal
Based on what you said, you'd get a lot from a [call length] minute call with [closer]. It's free. They'll look at where you are and map out the next steps. If [coach]'s program isn't a fit, they'll tell you.
Want me to send a couple of times?
DM: member who posted or commentedWithin a day
Hey [first name], saw your post about [topic]. Great question.
Can I ask, where are you at with it right now? I might have something that helps.

Have setters DM anyone who likes, comments or posts in a free group, and to pull engaged people from weekly live calls into DMs. Good group funnels turn about 10% of joiners into buyers of the next offer, by getting about a third onto calls and closing 30% to 50% of those. See how Skool Games winners use the same moves.

DM setting scripts

DM: replied to a post or adWithin minutes
Hey [first name], thanks for reaching out! I'm [your name] from [coach]'s team.
What caught your eye in the post?
And where are you at right now with that?
DM: the middle of the chatAsk one question at a time
Got it. And where do you want to be in 6 months?
What's been the biggest thing stopping you?
What have you tried so far?
Why is now the time to sort it out?
DM: the path and the bookOnce they've answered
Makes sense. That's exactly what [coach] helps people with.
Here's a short video of how one client fixed the same thing: [link]
If it clicks, the next step is a [call length] minute call with [closer]. Want a couple of times?

Some operators send a short video of a similar client's fix before asking for the call. DM funnels on their own hit a ceiling at 3 to 5 setters, so most teams pair them with a webinar or VSL funnel.

Booked call scripts

Text or voice note: just bookedWithin a few hours
Hey [first name], it's [your name] from [coach]'s team. You're booked with [closer] on [day] at [time] (your time). Can you reply YES so I know you got this?
Before the call, watch this short video: [link]. It'll make the call way more useful for you.
Selfie video: just bookedFilmed on a phone, under 45 seconds
Hey [first name], I'm [your name] from [coach]'s team. You just booked a call with [closer] for [day] at [time].
This is my own number, so save it.
I saw on your form you said [one answer from their form]. I've got a short video on exactly that. Text me back "yes" and I'll send it over before the call.
Talk soon.
Text: day beforeAbout 27 hours before
Hey [first name], quick reminder: you're with [closer] tomorrow at [time] (your time). Still good? Reply YES and I'll keep your spot.
Text: 1 hour beforeSame day
See you in an hour, [first name]. Here's the link: [link]. [closer] is looking forward to it.

Our view: a face and a real phone number beat any automated reminder. Asking them to text back starts a two-way chat, and people find it harder to no-show on someone they have spoken to.

Old lead scripts

Text: gone quietOnce a month
Hey [first name], [your name] from [coach]'s team. Where you at? Still looking to [result]?
Call: they repliedRight away
Hey [first name], it's [your name]. Thanks for getting back to me. Last time we spoke you wanted to [result]. What's changed since then?
What's still in the way?
Want me to get you on a [call length] minute call with [closer] to map out the next step? I have [day] at [time] or [time].

Some operators report a short "where you at" style text to 200 cold leads gets 5 to 10 back in a conversation.

3Objection handlers for setters

Answer short, ask one question back, and get to the booking.

"Is this a sales call?"
Fair question. No, I'm just here to see if a call with [closer] even makes sense for you. If it doesn't, I'll tell you. So, where are you at right now, and where do you want to be?
"Just send me some info."
Happy to. So I send the right thing, what's the main thing you want to fix? ... Got it. Honestly, the best info is a [call length] minute call where [closer] looks at your situation. Want me to send times with it?
"How much is it?"
It depends on what you need, and [closer] goes through that on the call. If it helps, most people invest [price range]. Is that in a range you could do if it's a fit?
"I need to think about it."
Totally. What part do you want to think about? ... Makes sense. The call is just to get you the answers, there's nothing to decide on it. Would [day] or [day] be better?
"I need to talk to my partner."
Of course. Would they want to be on the call too? Then they hear it first-hand. What time works for both of you?
"I don't have time right now."
No worries, I'll be quick. Is it a busy week, or is this just not a priority right now? ... Got it. Let's pick a time that's easier. Mornings or evenings?
"I tried something like this before."
That's really common. What did you try, and what happened? ... That makes sense. On the call [closer] can show you what's different, and if it's the same thing, they'll tell you.
"Not right now."
Fair enough. When would be a better time to look at this? I'll put a note to check in then. And if anything changes before, just reply here.

Then go back to the six steps. Most setter-stage objections mean they don't know you yet. A question back fixes that faster than an answer. For handlers built from the objections your own calls hear, get the objection handling playbook skill.

How do setters practise these scripts?

Scripts only work once they sound like the setter's own words. Run a 20 minute huddle every morning.

  1. Play one booked call and one lost call from yesterday. Stop the recording at the moment it turned. Ask what the setter could have said.
  2. Go through yesterday's leads. For each one not booked, say why in one line. "Bad lead" is not a reason. "Said it was too expensive before I asked about their goal" is.
  3. Role-play the top objection from yesterday. Two setters, three rounds each, swapping sides.
  4. Read out the texts. Each setter shares a text thread that went quiet. The team rewrites the last message.

Pass the patterns to whoever runs the ads and the funnel. If setters hear "I thought this was free" all week, the ad or the page is setting the wrong expectation.

4Follow-up texts: when to send what

5What numbers should a setter hit?

NumberWhat other operators report
Booking rate on outreach3% to 4%: about 4 appointments a day from about 100 conversations
Setters per closerabout 2
Calls setters book60% to 70% of all calls, by calling every opt-in and partial application
Leads who book themselvesabout 10%
Show rate, cold traffic60%+ target; plan on 40% to 50% while testing
Setter pay$25 to $50 per qualified appointment plus 2% to 5% of upfront cash

Blake Mathews, one of our B2B clients, paid $66 per booked call on a $15K offer. Real client, not typical.

Bring your leads, calls booked and show rate. We will tell you what we would fix first.

6Worked example: Jordan's first month on webinar leads

Jordan is a made-up setter for a made-up coach, Maya, with a $6,000 offer. Jordan gets 40 new leads a day from webinars and the VSL.

LineThe mathsPer dayPer month
New leadsFrom ads40880
Spoken to40 × 50%20440
Booked20 × 30%6132
Showed132 × 70%4.292

A month here is 22 work days. In month one, Jordan calls new leads the next day. In month two, every opt-in gets a text in 3 minutes and a call in 7, using the VSL scripts above. More leads pick up, so Jordan speaks to 65% instead of 50%.

92 to 120 shows from the same leads
Next-day calls92 shows
  • 50% spoken to
  • 132 booked a month
  • 70% show
Text in 3, call in 7120 shows
  • 65% spoken to
  • 172 booked a month
  • 70% show

880 × 65% × 30% = 172 booked, × 70% = 120 shows. Same leads, same script, faster.

7What is a good appointment setting rate?

It depends on how warm the lead is. On cold outreach, 3% to 4% of conversations book. Leads who opted in, watched a webinar or joined your group should book at a much higher rate. Track leads spoken to, calls booked and calls that showed, per setter, every day. Show rate is the one that pays. If you want setters who already work this way on your leads, see if you qualify. Run yours through the show rate calculator to see what no-shows cost.

If you don't have setters yet, read how to hire appointment setters. The calls they book go to a closer, so read how to hire a high ticket closer next. If your leads come from a VSL, the VSL script template sets up the call before your setter ever dials.

8What to do this week

  1. Fill in the picker with your names. Copy the scripts for your main lead source.
  2. Set up an alert so setters see every new opt-in and half-finished application within minutes.
  3. Role-play the six steps with each setter for 20 minutes. Stop them every time they skip a step.
  4. Call last week's webinar no-shows and non-bookers before Friday.
  5. Run the check below and fix the first thing it names.
Why aren't your setters booking more calls?
1. A new lead opts in at 11am. When does a setter first reach out?
2. The lead is a fit. How does the setter end the call?
3. How many questions before the setter offers the sales call?
4. The lead asks "How much is it?" What does the setter say?
5. After a webinar, who do setters call first?
6. Someone books. What happens before the call?
7. How often do setters practise?
8. What do you track per setter?

If setting scores well and calls still don't turn into clients, the leak is somewhere else. Find the exact bottleneck in your business.

Frequently asked questions

What should an appointment setter say on the first call?

Say who you are and why you are calling, tied to what the lead just did, like watching a webinar or joining a group. Then ask where they want to be, what is in the way, what they have tried and why now. Check they can invest if it fits, then book the call before you hang up.

How do you start appointment setting?

Start with warm leads, not cold lists. Text every new opt-in within 2 to 3 minutes and call within 5 to 7. Use one simple six-step script: goal, obstacle, why now, ability to invest, the path, book. Track leads spoken to, calls booked and calls that showed every day.

What is the best cold call script to get an appointment?

A short one that earns the next question. Say who you are and why you are calling in one line, ask one question about their goal, then one about what is in the way. If there is a fit, offer two set times for a call instead of asking if they are interested.

What is a good appointment setting rate?

On cold outreach, operators commonly report 3% to 4% of conversations booking, about 4 appointments a day from about 100 conversations. Warm leads who opted in or watched a webinar should book at a much higher rate, because they asked for help first.

How fast should a setter contact a new lead?

Operators commonly send the first text within 2 to 3 minutes and make the first call within 5 to 7. Texting first means the call is not from a strange number, so more people pick up.

What is a DM setting script?

A DM setting script is the set of messages a setter sends in a social media chat to turn a reply into a booked call. It asks one question at a time: what caught their eye, where they are now, where they want to be, what is in the way, then offers a short client video and a call.

How should a setter handle "just send me some info"?

Agree, then ask one question so you send the right thing: what is the main thing they want to fix. Then explain the best info is a short call where the closer looks at their situation, and offer two times.

Should appointment setters ask about budget?

Yes, gently. Ask if they are in a spot to invest in getting it fixed if it is a fit. It saves your closer from calls that cannot close. Leave the exact price and the offer to the closer.
